We do not store your full payment card details. Payment card information is handled by our payment providers.

Special category data

We do not ask customers to provide special category data unless it is genuinely needed for a specific reason.

Because Buttercup Learning creates resources for children and families, parents or carers may sometimes choose to share information about a child’s SEND, disability, health, sensory needs or learning needs when asking for support, discussing accessibility, or explaining how a resource is being used.

Please only share this type of information where it is necessary.

We do not use children’s SEND, disability, diagnosis, health or learning needs in public marketing. We do not encourage parents or carers to post this type of information publicly. If this information is shared with us privately, we will handle it carefully, use it only for the reason it was shared, and keep it only for as long as needed.

Legal obligation

Children’s information

Buttercup Learning creates nature education products and resources for children. Our shop, newsletter, courses, memberships and customer accounts are intended for adults.

We do not knowingly collect personal information directly from children without appropriate adult involvement.

Parents and carers may choose to share children’s artwork, comments, feedback or examples of learning in our private community or by tagging Buttercup Learning on social media.

Please only share information, artwork or images you have permission to share.

We may share children’s artwork in our private community or on Buttercup Learning social media where a parent or carer has given permission. We will avoid sharing unnecessary identifying details about a child.

We do not encourage parents or carers to share children’s SEND, disability, health or learning needs publicly. If this type of information is shared with us privately, we will only use it to respond to the message or provide appropriate support. We do not use SEND information for public marketing posts without permission.

Children’s artwork

Parents and carers may upload children’s artwork to our private Ugenie community or tag Buttercup Learning on social media.

Where you share artwork or activities with us, we may use it to:

Celebrate children’s creativity
Respond to your post or message
Share examples inside our private community
Share examples on Buttercup Learning social media, where we have permission
Improve our resources and understand how families use them

We keep children’s artwork only for as long as we have a clear reason to keep it. We will remove artwork where consent is withdrawn, where you ask us to remove it, or where we no longer need it for the purpose it was shared.

Children’s images, photos and headshots

Buttercup Learning’s approach is to avoid using children’s faces, identifiable headshots or clearly identifiable images of children in our public marketing wherever possible.

When we create or request product photographs, review images, website images, social media posts or promotional graphics, we encourage parents, carers and reviewers to use images that protect children’s privacy. This might include photos taken from behind, photos of children’s hands using the activity sheets or craft materials, close-up images of the finished activity, or product photos that do not show the child’s face.

We will not ask parents, carers or reviewers to provide identifiable photos of children for marketing. If a parent, carer or reviewer chooses to share an image that includes a child’s face or identifiable features, we will not use that image in Buttercup Learning’s public marketing unless appropriate parent or carer permission has been given and we are satisfied that the image is suitable to share. We will make attempts to edit out the child’s full face. We ask parents not to include photographs of children in identifiable school uniform.

Where possible, we will avoid sharing unnecessary identifying details, such as a child’s full name, school, exact location, date of birth, health information, SEND information or other private details.

Parents and carers can ask us to remove a child’s image from Buttercup Learning-owned spaces, such as our website, product listings, social media posts or marketing materials, by contacting info@buttercuplearning.com. We will take reasonable steps to remove it from places we control. Please note that once an image has been shared publicly online, we may not be able to remove copies that have already been saved, shared, screenshotted, printed or reposted by other people or platforms.

Marketing emails

If you sign up to our newsletter, we use your name, email address, email preferences and email engagement information to send you seasonal nature activity ideas, free resources, product news, course updates, community updates and offers.

We use EmailOctopus, Brevo and Kit for email newsletters and email marketing.

We may use tags or segments to send more relevant emails based on what you signed up for, clicked on, bought, downloaded or showed interest in.

Website analytics, cookies and tracking

We use cookies and similar technologies to run our website, understand how people use it, and improve our content.

We use Complianz GDPR/CCPA Cookie Consent to manage cookie choices on our website.

We may use website analytics, email link tracking, customer portal tags, social media tools, embedded content and similar technologies where they are active on our website or connected services.

This may include tools such as Google Analytics, Google Search Console, Pinterest Tag, newsletter link tracking through EmailOctopus, Kit and Brevo, and customer portal tags through Payhip.

Our Cookie Policy gives more detailed and up-to-date information about the cookies, scripts, pixels, embedded content and similar technologies detected on our website.

We use organic tracking only. We do not currently run paid advertising campaigns. If this changes, we will update our cookie information and ask for consent where required.

Where cookies or similar technologies need consent, we ask for your consent through our cookie banner or cookie settings. You can change your cookie choices through the cookie settings on our website or through your browser settings.

Use of AI tools

Buttercup Learning may use AI-assisted tools to help with general business tasks, planning, drafting, research, accessibility, content development or administration.

We do not intentionally enter customer personal data, children’s personal data, private community posts, children’s artwork, order details, health information, SEND information or private support messages into public AI tools such as ChatGPT, Claude or similar services.

Where software we use includes AI-assisted features, we aim to use those features only where appropriate and in line with the privacy terms of that service.

We do not give permission for customer or child personal information to be used by third-party providers for training AI models, unless this is clearly explained and any consent required by law has been obtained.

Service providers

We use trusted service providers to run Buttercup Learning. These providers only process personal information where needed to provide their service to us.

Our service providers include:

Erjjio Studios for website hosting, backups and keeping the website online. They may have access to website files, server logs, backups or technical data as part of that role. They do not provide ongoing website maintenance, web design, marketing, analytics management or cookie compliance services unless separately agreed.

Payments

We use payment providers such as Stripe to process payments.

We do not store your full payment card details. Payment card information is provided directly to the payment provider and handled under their privacy and security terms.

Delivery and fulfilment

We use Royal Mail to send physical Buttercup Learning boxes and posted orders.

Some products, including print-on-demand products, are produced, fulfilled and delivered by Teemill.

We share only the information needed to deliver your order. This may include your name, postal address, contact details where needed, order details, shipping option, dispatch information and tracking information where tracked delivery is selected.

Delivery times vary depending on the product, destination and delivery option selected at checkout. You will receive a confirmation email with an estimated delivery date. If you choose tracked shipping, you will also receive tracking information in your dispatch email.

How long we keep your information

We keep personal information only for as long as needed for the reason we collected it.

We usually keep:

Order and accounting records for up to 6 years to meet tax and legal duties
Customer service emails for as long as needed to respond and keep a useful business record
Newsletter information until you unsubscribe, ask us to delete it, or we remove inactive subscribers
Course and community account information while your account is active and for a reasonable period afterwards
Children’s artwork and activity photos until consent is withdrawn, you ask us to remove it, the community account closes, or we no longer need it for the purpose it was shared
Private information about a child’s SEND, disability, health, sensory needs or learning needs only for as long as needed to respond to the reason it was shared
Complaints records for as long as needed to handle the complaint and keep an appropriate record
Cookie consent records for as long as needed to manage and evidence consent choices

We may keep some information for longer where needed to handle a dispute, meet legal duties, protect our rights, or respond to a complaint.

International transfers

Some of our service providers may process personal information outside the UK.

Where this happens, we take steps to make sure your information receives appropriate protection under UK data protection law. This may include using UK adequacy regulations, standard contractual clauses, international data transfer agreements, or other approved safeguards.

We will acknowledge your complaint within 30 days. We will look into your complaint, take appropriate steps to respond, keep you informed where appropriate, and tell you the outcome without undue delay.
